Terms & Conditions

Location

We use a range of venues throughout the UK.
Specific venues for activities can be requested and will be accommodated according to availability.
Venue and meeting place information for booked activities will be confirmed by email 7 days in advance where possible; in any case by email prior to commencement.

Booking & Payment

A completed booking form will be requested to cover all activities.
Payment can be made via BACS Transfer, cash or cheque.
Deposits and Cancellation apply as follows:

Deposit – 25% of total booking value payable 45 days in advance
(Bookings will not be registered as confirmed until deposit received)

Balance of charges due by arrangement and detailed on booking form.

Cancellation (by client)

For single or part day events:
More than 30 days notice No charge
30 – 14 days notice 50% of total charge
Less than 14 days notice 100% charge

For multi-day events (eg residential):
More than 180 days notice No charge
179 – 90 days notice 50% of total charge
Less than 90 days notice 100% charge

Cancellations made by Canoes, Mountains & Caves (CIC) will, in the first instance, be offered an alternative activity option, all deposits will be returned where this is not possible.

Prices are subject to a possible surcharge should numbers booked not be fulfilled on the day.

Insurance

Canoes, Mountains & Caves carry appropriate Public and Employers Liability Insurance.
We recommend you protect yourselves with any additional Insurance you feel necessary.

We cannot be liable for any loss or damage to any personal possessions left in our care or used during the activity.

Safety

Canoes, Mountains & Caves clients’ safety is paramount to us – activities are covered by Risk Assessments, Qualified Instructors, First Aid & Weather Monitoring.

The nature of our services cannot guarantee an absence of risk and therefore we cannot be responsible for any personal illness or injury during a session unless it arises from negligence on our part. Medical Consent Forms will be required to be completed prior to commencement of activity. We reserve the right to refuse admission to our sessions to those we believe to be, in any way, unfit to participate. This does not include disabilities made known to us in advance.

Equipment

All necessary technical equipment needed to participate in an activity will be provided eg helmets & lamps for caving.
A relevant kit list will be available to all participants to cover non-technical equipment/clothing required.

Privacy Policy

This Privacy Policy sets out how Canoes, Mountains & Caves (CIC) intends to use and store the personal information that you provide.

There are several ways that you may choose to communicate with us (letter, phone, email, website, social media) and the information we gather from this communication, along with our requests for information through booking and consent forms may be used to form a contract for the supply of activity services and may include the following:

This information will be used to provide a safe and appropriate service and will be passed to Canoes, Mountains & Caves (CIC) staff (including freelancers and sub-contractors) as deemed necessary by ourselves to fulfil any contract.

We will not pass on personal information to any other third party without first gaining your consent, except in the case of: a medical emergency; where required to do so by the Health & Safety Executive or Insurers; or in any legal proceedings.

Only those persons who have specifically requested to be will be included in our quarterly mailing list for community activity.

The storing of information will be done to the best of our ability both in paper form with locked cabinets and electronically through pass coded files and will be kept for such a period that will cover any legal obligations. When we are no longer required to hold your information  we will dispose of it in a safe and secure manner.

It is your right at any point to request what personal information we hold on you for clarification, removal (except for where information is required to remain on our records to fulfil any legal obligations) or alteration.

Any photographs and videos taken during the activity session will be stored and used for publicity purposes and to promote Canoes, Mountains & Caves (CIC) (names will not be identified without prior consent).

Website

Canoes, Mountains & Caves (CIC) website is available free of charge through your normal network system.

The content of our site is subject to change and as such the information shown could be out of date at any given time. We are not under obligation to keep the content of this site up to date.

We can not guarantee that our site, or its content, will always be available or uninterupted; or free from errors or omissions.

We operate across the North of England, with regional bases in Cumbria and Tyne and Wear.
